Position: Office Manager
Reports To: Executive Director
Classification: Full-Time, In-Office, possibility of remote work 1-2 days a week after training period
Salary Range: $40,000 – $45,000

Your Role:
As the Office Manager, you will be the backbone of our operations, ensuring our programs run smoothly and efficiently. You will support our team, manage administrative tasks, and contribute to the overall success of our initiatives.

Key Responsibilities:

1. Program Support:
– Assist the Program Director with travel plans, correspondence, and other administrative needs.
– Track project funding requests, performance reports, and communications with partner organizations.
– Manage and analyze project statistics and impact data.
– Coordinate travel arrangements for trips to Africa.
– Support grant applications and evaluations by providing necessary data.
2. Office Management & IT:
– Handle day-to-day operations, including mail, phone systems, supplies, and facility management.
– Troubleshoot technology and facility issues.
– Work with business partners and vendors for utilities, tech support, and supplies.
– Maintain physical and electronic filing systems.
– Keep organizational charts and contact lists up to date.
– Send personal notes such as birthday and anniversary cards.
3. Donor Database Management:
– Enter and update donor information and contributions.
– Generate reports for development and grants teams.
– Train staff on database best practices.
– Address donor inquiries and update records as needed.
– Coordinate with marketing to embed donation forms on the website.
– Manage auction software and train staff/volunteers for fundraisers.
– Research and recommend new database software if needed.
4. Technology Support:
– Provide tech support for phones, printers, servers, and software.
– Be the expert in Office 365 and related applications.
5. Event Planning:
– Assist with planning and execution of events such as galas and trivia nights.
– Reserve venues, manage volunteers, and handle event materials.
– Generate event-related materials like name tags and catalogs.
6. Communications:
– Manage bulk mailings for appeals, thank you letters, newsletters, and reports.
– Print labels, address envelopes, and handle post office deliveries.
7. Board and Team Support:
– Update board calendars and contact lists.
– Maintain board documents and prepare orientation materials.
– Generate and distribute meeting agendas and packets.
8. Bookkeeping Support:
– Handle deposits and log information for the accountant.
– Send program funds to Africa as approved.
– Pay invoices online or by check
9. Operations:
– Manage the Board of Directors Teams site and communications.
– Maintain official board records.
– Set up meetings, A/V, and other details.
– Manage project calendars for staff, development, marketing, and events.
– Support community presentations by preparing slideshows and managing A/V needs.
10. Payroll and Onboarding:
– Manage payroll setup and onboarding for new employees.

Qualifications:

– Proven experience in office management or a similar role.
– Strong organizational and multitasking skills.
– Proficiency in Office 365 and other relevant software.
– Excellent communication and interpersonal skills.
– Ability to work independently and as part of a team.
