Position Summary:

The Database Administrator provides a broad range of information services in support of all development efforts, including campaign, annual, planned giving, and membership. This position is responsible for the administration and management of the Missouri Historical Society’s (MHS) Altru database; the oversight of processing and integrity of constituent data; interface with finance in accuracy of gifts; the extraction of data; and user support.

Duties/Responsibilities:

  • Develop and maintain policies and procedures to ensure data integrity, ease of use, and accuracy of exported data
  • Create and maintain policies and procedures related to constituent records management, data entry, processing, and gift acceptance
  • Use Research Point and other resources to conduct prospect research and create prospect reports for Managing Director and frontline fundraisers
  • Research Altru best practices and ensure they are implemented and followed
  • Monitor Altru user community resources to stay up to date with common problems/resolutions and other information
  • Coordinate with vendor and staff on environment upgrades/changes and manage the upgrade or change process with IT
  • Train all users (volunteers and staff) on the fund development software ensuring consistency in data entry and consumption
  • Responsible for ensuring that policies and procedures regarding the use of the database are correctly followed, enforcing retraining of staff and volunteers when necessary
  • Oversee data entry activities to ensure the timely, efficient, and accurate processing, acknowledgement, and fulfillment of contributions, including all types of gift vehicles
  • Perform and/or oversee all database administration functions, including scheduling of database maintenance, security, duplicate record merging, clean-up tasks, and quality control audits
  • Provide technical support to database users
  • Manage and oversee the generation of financial and demographic reports, as well as mailing lists, invitation lists, recognition lists, and other data extractions as requested
  • Design and generate customized reporting and set in place automated processes as necessary
  • Prepare financial reports and handle special requests from donors or the President’s Office, ensuring timely responses and efficient support
  • Work with Finance to reconcile gifts, provide transaction information and reports, and troubleshoot issues
  • Promote and nurture productive working relationships with staff throughout MHS
    All other duties as assigned

  • Strong attention to detail and accuracy is needed

Education and Experience:

  • Minimum Education: bachelor’s degree or equivalent experience
  • Work experience: 3-5 years of database fund development software administration in a nonprofit setting
  • Proficiency in Altru or other fund development software, Crystal
  • Reports, Microsoft Excel and other MS Office applications.
  • Experience with Financial Edge desirable. Experience with
  • Crescendo or PG Calc a plus.
