ADMINISTRATIVE ASSISTANT

Reports To:          Community Relations Director

Hours:                  avg/approx. 40 hours/week; Monday-Friday

Pay Range:           $17-$20 hourly; depending on experience

Available:             Onsite Position open immediately (not available for remote work)

Summary: The Administrative Assistant serves as the “face” of the agency, assisting residents, community participants, and clerical support to fellow staff members; responsible for telephones and staffing of management office reception/front desk area during Reception Office Hours. Some administrative support duties will fall within the agency’s other departments.

Skills/Qualifications:

·        Highly trustworthy individual; ability to deal with confidential information with discrepancy

·        Outstanding verbal communication skills and excellent “people” skills

·        Proficiency with use of various types of office equipment and variety of computer programs such as Word, Excel, Outlook, Canva, and ability to master other programs/databases; special preference to applicants with writing, website, and social media experience

·        Possesses excellent organizational skills, is detail oriented, able to multi-task and has work history with solid attendance, punctuality records

·        Ability to view computer monitor, contracts and documents.

·        Ability to lift up to 10 lb. on a frequent basis.

·        Ability to move easily around the interior and exterior of the building and grounds, including standing, sitting, balancing, stooping, crouching, and reaching.

·        1-3 years relevant work experience required; Associate/bachelor’s degree preferred

Job Responsibilities:

·        Provides direct service to residents, by phone and in person during Reception Office Opening Hours, including generating maintenance work orders; notifying maintenance staff about urgent needs; managing registration and payment for programs, trips, classes; handling communication and distribution related to mail, packages, deliveries

·        Supports staff greeting and directing guests, clients, vendors, volunteers, residents, volunteer board members and other service providers and visitors; communicating information and issues of concern to appropriate staff member

·        Assists with program, staff, board, and committee meeting room set up and coordination

·        Notifies maintenance staff about urgent needs that require immediate attention; keeps accurate and up-to-date files

·        Provides primary communication with staff, residents, first responders, alarm monitoring firm regarding emergencies when contract support staff is not onsite; and transitioning and relaying information to evening/weekend contract  support staff

·        Provides general administrative support across agency departments including: creating or updating marketing materials, website, and social media; maintains files, contacts, databases and other lists up-to-date; create and merge correspondence as directed
