Ready Readers

Position Summary:

The Program Administrator – Front Desk is responsible for administrative and organizational tasks to promote smooth operation in Ready Readers programming. This role also provides support for the volunteers, teachers, and community partners engaged with Ready Readers. This position’s focus is on providing the best possible customer service to all Ready Readers partners and facilitating efficient work for the Ready Readers team.

This is a full-time, non-exempt 40 hour per week position and includes insurance benefits, PTO, and holiday pay. The hours are 8 am – 4 pm Monday-Friday.

Primary Responsibilities:

Organizational Support

  • Monitoring communal voicemail/email inboxes and providing responses or passing along to appropriate staff member(s).
  • Entering data to make standard updates to internal database (e.g., a classroom’s enrollment size has increased).
  • Collecting mail and packages and disseminating to correct staff member(s).
  • Organizing and rearranging conference room and other communal spaces based on upcoming activities.
  • Providing support for meetings and other events by purchasing necessary food or supplies.
  • Mailing information and resources to Ready Readers partners.
  • Providing onboarding support to new team members by ensuring they have the supplies needed to be successful (e.g., business cards, name tags, etc.).
  • Invoice receipt and processing.
  • Additional duties as appropriate.

Volunteer & Community Partner Support

  • Staffing the front desk and greeting visitors to the Ready Readers office to help/provide resources as needed.
  • Answering phone calls and providing support or directing to appropriate staff member(s).
  • Building and sending individual and mass communications to Ready Readers partners via email or text.
  • Creating and monitoring sign-ups for volunteer opportunities.
  • Supporting book distributions to community partners by arranging pick-ups, entering data, and working closely with community programming team.
  • Facilitating administrative aspects of volunteer onboarding/retention (e.g., sending, collecting, and processing volunteer forms, making phone calls, etc.)
  • Monitoring resources available to volunteers and restocking as needed.
  • Additional duties as appropriate.

Skills and Qualifications:

  • Strong commitment to the Ready Readers mission and passion for early childhood education, literacy, or educational equity required.
  • Prior experience in organizational or administrative support preferred.
  • Excellent oral and written communication skills.
  • Strong interpersonal and customer service skills.
  • Punctual, dependable, a self-starter, and possess the ability to effectively multi-task and work independently.
  • Ability to coordinate and prioritize multiple tasks, set deadlines, and complete projects quickly is essential.
  • Exceptional organizational, time management skills, problem-solving, and conflict resolution skills required.
  • Detail-oriented and able to maintain accurate records.
  • Experience and comfort using Microsoft Office Suite required (including creating mail merges).
  • Adept at quickly learning and adapting to new technologies and software programs.
  • Must be able to comfortably lift/carry up to 25 pounds.
