Job Title: Executive Assistant & Operations Manager
Location: Hybrid
Type: Full-time with occasional evening and weekend events

Compensation: $70,000- $80,000 annually based on experience.  No other benefits are available currently.

We are seeking a highly experienced and proactive Executive Assistant & Operations Manager to support our executive co-directors (75/25), including vendors, consultants and advisory groups—across a range of business functions. This multifaceted role is ideal for a detail-oriented, tech-savvy professional who excels in executive support, project coordination, internal operations, and client engagement. You’ll play a key role in managing priorities and supporting both strategic initiatives and daily operations in a dynamic, growing organization. The ideal candidate can blend operational expertise with a values-driven mindset. Key Responsibilities:

Executive & Administrative Support

Manage complex calendars, appointments, events, for co-directors.
Organize and respond to email communications, draft and format executive correspondence.
Assist in the preparation of executive-level presentations, reports, and collateral.
Maintain a master project and communication list.
Coordinate leadership meetings, off-sites, and VIP events.

Project & Operations Management

Plan, track, and execute key initiatives, ensuring timelines and deliverables are met.
Monitor budgets, project schedules, and performance metrics; report insights to leadership.
Support contractor onboarding, vendor management, and external contract negotiations.
Develop and maintain internal processes for workflow efficiency and scalability.

Marketing, Social Media, & Communications

Lead content planning and publishing across social media platforms.
Develop and manage marketing timelines, newsletters, and website updates.
Coordinate with internal and external stakeholders on branding and communication strategies.
Track engagement metrics and adapt content strategy accordingly.

Client & Stakeholder Engagement

Serve as the first point of contact for client communications.
Manage CRM data and ensure high-touch client relationship management.
Review and edit client-facing deliverables (e.g., presentations, surveys, reports).
Support community engagement and philanthropic initiatives.

Financial Oversight & Reporting

Track and reconcile invoices, billing, and expense reports.
Manage accounts payable/receivable and support budget forecasting.

Requirements & Qualifications:

Experience: Minimum 3 years of executive support, operations, or business administration roles.
Education: High School Diploma required; bachelor’s in business, communications, or related field preferred.
Technical Skills:
Proficiency in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint)
Familiarity with project management tools (Google Workspace) and CRM systems, Salesforce, task management and virtual meeting platforms.
Experience with social media scheduling tools and basic content creation
